The room looked fine in the photographs. The rate was competitive. Then the traveller arrived to find the property under renovation, the restaurant closed, and a generator running under the window of the only room left.
Hotel booking in Kenya rewards knowledge in a way that flight booking does not. An aircraft seat is a standardised product; every 14A on the same aircraft type is identical. A hotel room is not. Two properties on the same Nairobi street, at the same published rate, can deliver completely different stays, and photography is the least reliable guide to which is which.
We have been booking accommodation across Kenya and internationally since 1994, for more than 300 corporate accounts and thousands of leisure travellers. Our consultants have physically inspected a large share of the properties we recommend, and we maintain negotiated rates at hotels across Nairobi, Mombasa and the safari circuit. What a Negotiated Rate Usually Includes Beyond the Room
Depending on the property, an arrangement can include breakfast, Wi-Fi, late checkout, room upgrades subject to availability, airport transfers, meeting rooms, or direct billing to a corporate account. The Nairobi Business Hotel Landscape, Area by Area
Nairobi traffic makes location the single most consequential decision in a business hotel booking. A hotel eight kilometres from your meeting can be ninety minutes away at the wrong hour. Here is how the city divides, and what each area suits.
Westlands
The densest concentration of quality business hotels in the city, and the natural base for meetings with agencies, tech firms, professional services and the many multinationals with regional offices here. The Muthithi Road corridor (where our own office sits) puts you within walking distance of a great deal of commercial Nairobi.
Westlands is also the strongest area for evening options: restaurants, bars and shopping within short reach, which matters on a multi-night stay. Best suited to visitors whose meetings are in Westlands, Parklands or Riverside. Ask us for a room away from the road-facing side: Westlands is lively at night, and that cuts both ways.
Upper Hill
Kenya's financial and institutional district. Banks, insurers, major corporates and a number of ministries and institutional offices sit within a compact area. The hotels here are built for exactly this traffic: solid meeting facilities, reliable business centres, and breakfast service that starts early enough for an eight o'clock start.
If your meetings are with banking, insurance or institutional clients, staying in Upper Hill can save you two hours of driving a day compared with anywhere else in the city.
Karen and Langata
Quieter, greener, lower-density, and the preferred base for many NGO, diplomatic and development-sector visitors: partly because a number of those organisations are based here, partly for the calmer environment.
The trade-off is distance. Karen to the CBD or Upper Hill in morning traffic is a serious commitment. Choose Karen when your business is in Karen, or when the visit is long enough that quality of stay outweighs commute. The JKIA Corridor and Mombasa Road
For early departures, late arrivals and tight layovers, staying near the airport is simply the correct decision. A 6am flight from a Westlands hotel means leaving at 3:30am to be safe. From the airport corridor it means leaving at 4:45am and sleeping an extra hour.
This is also the right area for transit crews, for travellers with a single meeting on Mombasa Road, and for anyone connecting onward the following morning. We pair these bookings with airport transfers so the timing is handled end to end.
The CBD
Best for business with government offices, the courts, or the older established institutions clustered in the centre. Hotel stock is more mixed here than elsewhere, and the range between properties is wide, which is exactly the situation where an agent's inspection knowledge earns its keep. Parking and evening movement are both more constrained than in Westlands or Upper Hill.
Long-Stay and Project-Team Accommodation
Extended accommodation is a distinct product with different economics, and it is one of our busiest areas: NGOs running programmes, contractors on infrastructure projects, audit teams on multi-week engagements, and consultants on placement.
Serviced apartments usually beat hotels beyond about two weeks. More space, a kitchen, laundry, and a nightly rate that typically drops well below an equivalent hotel room once the stay extends. For a team of four on a six-week deployment, the difference over the engagement is substantial.
Rate breaks are tiered by duration. Meaningful reductions generally appear at the 30-day mark, again around 60, and again around 90. Booking six separate weekly stays at one property costs materially more than booking the same nights as a single long stay, a mistake we see regularly.
Per-diem alignment matters for donor-funded work. Organisations working to institutional per-diem ceilings need accommodation that fits within them and produces the documentation the funder requires. We book to your ceiling and provide compliant invoicing.
Team accommodation needs sequencing. Staff rotating in and out of a project rarely align neatly. We hold a block, manage the arrival and departure calendar against it, and consolidate the billing into one account rather than dozens of individual folios.

Safari Lodges and Camps: A Different Booking Discipline Entirely
Booking a Mara camp has almost nothing in common with booking a Nairobi hotel, and treating them the same is the most common and most expensive mistake in Kenyan travel planning.
Full-Board, All-Inclusive, and What "FB" Actually Excludes
Lodges and camps quote on meal-inclusive terms, but the terminology hides real differences.
Full board (FB) covers three meals. It typically does not include drinks (sometimes not even bottled water at the table) and it does not include game drives at most properties.
All-inclusive (AI) usually adds house drinks and, at many camps, scheduled game drives. What counts as a house drink varies widely.
Game package rates bundle accommodation, meals and a set number of daily game drives, and are what most safari itineraries actually run on.
Park and Conservancy Fees Are Not in the Room Rate
Private conservancies charge their own conservancy fees, often higher than national park fees, in exchange for far lower vehicle density and the ability to conduct night drives and walking safaris that are prohibited inside national reserves.
For a four-night safari for two, fees alone can add several hundred dollars beyond the accommodation. We include them in every quotation as a separate visible line. Seasonal Rate Bands
Safari properties price in bands, and the spread between them is dramatic, often two to three times between the cheapest and most expensive weeks of the same year at the same camp.
Peak covers roughly July to October, when the migration is in the Mara, plus the festive period. Highest rates, and the Mara's best camps sell out months ahead, including many of the luxury travel properties in its most sought-after conservancies.
High and shoulder cover the drier stretches either side, with good game viewing at moderated rates.
Green season, broadly the long rains around April and May, brings the lowest rates of the year. Some camps close entirely. Those that stay open offer genuinely excellent value, lush landscapes, superb birding and very few vehicles, with the honest trade-off that some tracks become difficult and sightings take more patience.
Festive supplements apply over Christmas and New Year at nearly every property, frequently with a compulsory gala dinner charge and a minimum stay of three or four nights.
Transfers and Flights Book in the Same Breath
A Mara camp booking is incomplete on its own. The light-aircraft flight from Wilson Airport, the airstrip the camp actually meets guests at, and the road transfer at the far end all have to align, and camps are not always on the airstrip they appear closest to.

Minimum Stays, Child Policies and Single Supplements
Peak-season minimum stays of two or three nights are standard, and longer over the festive period. Child policies vary sharply: some camps set a minimum age of six or twelve, some prohibit children in certain tent categories, and family units are limited in number and go early. Coast and Domestic Leisure Hotels
The Kenyan coast operates on its own rhythm, and its own pricing logic, and coast bookings sit at the heart of our wider leisure travel work.
Diani is the strongest all-round beach destination: clean sand, a good spread from mid-range to genuinely luxurious, and a well-developed activity scene. Full detail on our Diani Beach page.
Mombasa's north and south coasts differ meaningfully. North coast (Nyali, Bamburi, Shanzu) is closer to the city and the airport, busier, and better for larger family resorts. South coast is quieter, and requires the Likoni crossing, which needs building into travel timing. See Mombasa holidays.
Watamu and Malindi are quieter still, strong on marine life and diving, and suited to travellers who want the ocean rather than the resort scene.
Naivasha and Nakuru absorb most of Nairobi's weekend traffic. Book Friday nights well ahead, particularly over long weekends.
On resident rates: most Kenyan hotels and lodges publish separate resident and non-resident tariffs, and the difference is significant, frequently 30 to 50 percent. Kenyan citizens and holders of valid residence permits generally qualify, and East African Community citizens qualify at many properties. Proof is required at check-in: a Kenyan ID, a passport with a valid residence permit, or an alien card. Properties do check, and a booking made at resident rates without valid documentation will be repriced at the counter. International Hotel Booking Through the GlobalStar Network
Booking a hotel in a city nobody in the room has visited is where an international network stops being a marketing line.
As Kenya's GlobalStar Travel Management partner, we work with accredited agencies in 80+ countries. When a client needs accommodation in Frankfurt, Mumbai, Dubai or São Paulo, we draw on partners who know that market at street level: which district actually suits the meeting, which property has just changed hands, which area is inadvisable after dark.
The practical benefits are threefold. Local rates, because partners hold negotiated agreements in their own markets that no Kenyan agency could secure alone. Consolidated billing, so a company with travellers in six countries receives one account and one reporting set rather than six. Support in the right time zone, which matters when a booking fails at 11pm in a city eight hours away from Nairobi.

Group Blocks and Event Accommodation
Group accommodation runs on contract mechanics that catch out organisations booking their first large event.
- A room block is a contracted allocation held at a fixed rate for a defined period. You are not paying for the rooms yet: you are reserving the right to fill them.
- The cut-off date is when unfilled rooms return to the hotel, usually two to four weeks before arrival. Miss it and your delegates pay public rates, if anything remains.
- Attrition is the contractual clause that matters most. Most hotels require you to fill a minimum percentage of the block (often 80 to 90 percent) and charge for the shortfall below it. Contracting a block of 100 rooms and filling 60 can generate a real invoice for rooms nobody slept in. We negotiate attrition terms deliberately and advise on realistic block sizing, which is usually smaller than the organiser's first instinct.
- Rooming lists are the operational side: who shares with whom, twin versus double, accessibility requirements, early arrivals and late departures. We manage the list and submit it in the hotel's format.
Event accommodation ties directly to our MICE and events service, where the block is planned alongside venue, catering and delegate logistics, and to group travel for leisure parties.

What We Verify Before We Book You In
This is the part no booking platform performs, and it is where thirty years of local operation shows.
Recent inspection. Our consultants visit properties, and we prioritise recommendations we have seen ourselves within a reasonable period. Photographs on a booking site can be a decade old.
Current management and ownership. Hotels change hands, and standards can shift fast in either direction. A property that was excellent two years ago may not be today. We track this because our clients return to the same hotels repeatedly and tell us.
Actual room condition, by room type. A property can be genuinely good and still have a wing that should be avoided. We know which floors are quiet, which rooms face the generator, and which categories are worth the upgrade.
Infrastructure reality. Power backup and whether it actually carries the whole property. Water supply reliability, which varies by area and season in Nairobi. Wi-Fi speed as it genuinely performs, not as advertised, decisive if a traveller has to run video calls.
Road access in the rains. For lodges and camps, this is a seasonal question. Some access roads become genuinely difficult in the long rains, and a booking that works in September may not in April.
Food safety and kitchen standards at properties handling long-stay teams, where a single lapse affects an entire project.
If we would not put our own MD in a room, we do not book a client into it.
Billing, M-Pesa and Payment Options
- Corporate account billing. Approved corporate clients settle on account. The traveller checks out without producing a card, and accommodation spend consolidates into monthly reporting alongside air and ground transport. This alone removes most of the expense-claim friction finance teams complain about.
- M-Pesa. Our most-used method for individual, family and leisure bookings: fast, familiar, and quick to reconcile against a confirmation.
- Card and bank transfer. Visa and Mastercard, and bank transfer for larger group and lodge deposits.
On guarantees: most city hotels hold a room only against a guarantee. Safari camps may have different confirmation and cancellation terms. We set out applicable payment and cancellation terms at quotation.
Amendments, Cancellations and No-Shows
Cancellation terms vary more between property types than any other part of the booking, and assuming otherwise is costly.
- City hotels can offer different cancellation terms depending on the booking conditions.
- Safari lodges and camps can have stricter cancellation terms, depending on the property and season.
- Festive-period bookings may have stricter confirmation and cancellation terms.
- Group blocks operate under their contracted attrition terms rather than individual cancellation rules.
We state the applicable terms in writing at quotation, and we handle amendments directly with the property, including the cases where a well-established relationship secures a waiver that an individual booker would not obtain. That is not a promise, but over thirty years it happens often enough to matter.

Can you hold rooms for a conference before we confirm numbers?
Yes: a room block can hold an allocation until its cut-off date. We advise carefully on block size and the applicable terms.
What happens if I need to cancel a lodge booking?
It depends on the property and how close to arrival you are. We provide the applicable terms in writing at quotation and handle amendments directly with the property.
